How to Write a Japanese Delivery Address for a Parcel from China

A practical address checklist for China-to-Japan parcels: how to collect the postal code, prefecture, municipality, chome, building and room number before dispatch.

Japan Delivery Address Format for Parcels from China

If a China parcel reaches Japan with an incomplete address, adding only a city name will not solve it. The recipient’s 7-digit postal code, prefecture, municipality or ward, street-level address, building name and room number need to describe the same delivery point. Collect the address before the parcel is packed, then ask the recipient to confirm it exactly as it should appear on the label.

Use this Japan address checklist before you ship

Ask the recipient for these fields in one message:

  1. Recipient’s full name, as it appears on their mailbox or building directory.
  2. Telephone number that can receive a delivery call or notice.
  3. Seven-digit postal code, normally written as 123-4567.
  4. Prefecture, followed by city, ward, town or village as applicable.
  5. Chome, banchi and go, or the full local street-address line supplied by the recipient.
  6. Building name and room number. Do not treat this as optional for an apartment, dormitory or office suite.

Japan Post recommends using the English alphabet and Arabic numerals for international address labels. Its guidance includes a building name and room number where applicable. The postal code belongs with the destination address, not hidden in a note to the warehouse. Check Japan Post’s addressing guidance if a recipient is unsure how to transliterate a local address.

Use a recipient-confirmed address order

Use the recipient’s own Roman-letter version whenever they can provide one. A practical sequence is:

ROOM 305, SAKURA HEIGHTS 1-8-12 NISHISHINJUKU, SHINJUKU-KU TOKYO 160-0023 JAPAN

This is only an illustration. The order and spelling must come from the actual recipient. A building name is useful because two entrances or apartment blocks can share the same base street address.

Three errors that cause avoidable delivery questions

1. The postal code and municipality do not match

Do not guess a postcode from a city name. Ask the recipient to copy it from their official address, utility bill or Japan Post postcode search. If the postcode belongs to another ward, stop and reconfirm the whole address.

2. The apartment number is missing

A building name without a room number can still leave the driver with dozens of possible doors. Put the room number on the first line when space is limited, and keep it in the shipping record as well.

3. The recipient name does not match the delivery point

A parcel addressed to a nickname, a previous tenant or only a company name may be harder to deliver. Ask whether the mailbox shows the same name. For shared residences, add the actual recipient name and room number.

What to send to YDA before dispatch

Send the full address as one copyable block, plus a phone number and the recipient’s preferred Roman-letter spelling. If an order has already reached the warehouse, tell us before it is packed if any field needs changing. An address correction may not be possible after the final carrier has accepted the parcel.

YDA can record the address provided, compare it with the shipment label and help request a correction before dispatch where the route allows. We cannot decide whether an address is valid, guarantee a carrier correction, or guarantee delivery when a carrier or local authority requests more information.

Address check before you approve shipment

  • Postal code: seven digits and confirmed by the recipient.
  • Prefecture and municipality: copied together, not inferred.
  • Building and room: included for apartments, offices and dormitories.
  • Recipient name: matches the mailbox or building directory.
  • Telephone: active and supplied in international format when requested.

For the separate choice between direct delivery and a China warehouse, read our Japan shipping guides before choosing the route. Once the parcel is in Japan, keep the tracking number and watch for any local delivery notice.

Address and delivery rules can change by carrier and service. Recheck the live requirements before the parcel is handed to the carrier.
