Received a PostNL request for missing information about a China parcel? Verify the notice, connect the goods to the paid orders and send a clear reply through the requested channel.

If PostNL asks for missing information about your China parcel, verify the request, identify the exact question and connect your reply to the goods actually shipped. A folder full of unrelated screenshots makes that harder. Start with the request and build the evidence around it.
This guide is for personal purchases already being handled by PostNL in the Netherlands. Official information checked: 8 November 2026. It helps you prepare a reply; it does not calculate an import bill or establish that a product is allowed.
Open the request from your PostNL shipment
Open the official PostNL app or type the website address yourself. Locate the shipment using the tracking details supplied by your sender and compare them with the notice. Check the destination postcode, request and any reference before sharing documents. If the parcel does not match a purchase you recognise, ask PostNL to identify it first.
PostNL’s phishing guidance recommends using its own app or tracking page and warns that the displayed sender alone is not proof of authenticity. Do not upload purchase records or enter payment details on a page reached through an unverified message.
If you cannot connect the international number to the Dutch delivery record, ask the sender for the local reference. The China parcel tracking guide explains that earlier identification step. This article starts once you have an actual information request.
Find exactly which information PostNL needs
PostNL calls its arrival notice a bericht van aankomst. Its missing-information explanation says it may need details such as the parcel’s contents or value before it can complete clearance.
Read what your own shipment asks for. Is the missing point an item description, the price paid, or the connection between an order and this box? Save that wording. If it is unclear, ask PostNL which information remains missing rather than sending your entire shopping history.
A “customs” scan does not tell you to send documents directly to Dutch Customs. Dutch Customs explains that the carrier holds the parcel and handles the import declaration. Direct the shipment enquiry to the handling carrier. If another company is handling clearance, use its verified instructions instead of assuming the PostNL process applies.
If the request concerns 1688 stock for resale or business use, tell the representative. The Dutch-business 1688 checklist covers importer roles and the commercial file; a personal-purchase explanation cannot replace those arrangements.
Connect the Chinese purchases to this one parcel
Prepare a short reply supported by the records below, selecting what answers the request. This is a suggested way to organise evidence, not an official PostNL form or a guaranteed list of accepted attachments. Follow the fields and document instructions shown for your shipment.
A useful reply pack starts with a short note: shipment reference, missing point, supporting filenames and anything still unresolved. Follow it with the relevant originals. Your note explains the evidence; it is not a seller invoice.
- What is inside: save the paid order’s item, selected variant and quantity. Add a plain description beside the Chinese original. A live listing may show a different option from the one dispatched.
- What was paid: retain the order total, currency, payment record and relevant discount or refund. Explain a difference; do not edit a screenshot to make the figures agree.
- Why it belongs to this box: connect the seller’s domestic shipment to the warehouse receipt and final parcel record where available. Keep international freight and other separately charged services identifiable.
For several Taobao sellers, make a brief list of the orders actually included. Cross out nothing on the originals: explain separately if an item was cancelled, returned in China or packed into another shipment. If one payment covered several orders, identify the relevant orders and amounts rather than presenting the whole debit as the value of this box.
For Pinduoduo, keep the transaction record supporting the order, not just a wallet balance or account top-up. If someone purchased for you, ask for the underlying seller record and the available payment explanation. The Netherlands Pinduoduo guide covers the earlier buying and warehouse arrangements.
If YDA Express handled the shipment, send us the request and identify the missing China-side record. We may retrieve available purchase, receiving, photo or packing records. Those records cannot substitute for an invoice that does not exist, and YDA cannot amend PostNL’s declaration or promise acceptance.
Check the description before submitting. Dutch Customs’ restrictions guidance identifies goods you cannot freely order into the Netherlands. If the request concerns permission or a restricted item, purchase evidence alone does not resolve it. Ask the carrier what product-specific evidence or authority is needed; do not rename the item as something easier to declare.
Submit through track & trace and keep the reply window visible
PostNL directs missing-information replies through track & trace. Its arrival-notice guidance says the parcel goes back to the sender if the information is not supplied within two weeks. Check your notice now; do not assume a seller enquiry extends that period.
Enter the requested information, follow the available document instructions and review the item quantities, currency and parcel reference before confirming. Keep the originals and a copy of what you submitted, with the date and any confirmation displayed. Do not assume every screen accepts a combined PDF or the same file types.
If the entry process fails, PostNL directs customers to its digital assistant Daan. Use the official contact route, describe the failed step and ask how to provide the missing information for that shipment. Keep the enquiry record; an attempted upload is not proof that your reply was received.
Check the next action after sending
Check the PostNL shipment for a response or a further action. If the same question remains, quote the shipment and previous submission date and ask which detail is still unresolved. Supplying records does not by itself mean clearance is complete or delivery is scheduled.
If a bill appears next, check the PostNL charges and any earlier VAT payment as a separate task. Do not treat the document pack as proof that every charge has been paid. Keep any seller or payment-provider deadlines in view while the carrier enquiry continues.
For future purchases, preserve order evidence when paying, match arrivals in China and check the actual contents before dispatch. Rules and carrier instructions can change; recheck current product restrictions, platform arrangements and available transport before the next shipment.
