Understand seller dispatch, China domestic delivery, warehouse receiving, inspection, consolidation and packing before goods ship to the United States.

A parcel is not ready for international delivery the moment a Chinese seller marks it as shipped. Before goods can leave China for the United States, they may need domestic delivery, warehouse identification, requested checks, problem resolution, consolidation, repacking and a final shipping quotation.

There is no single guaranteed number for this stage. A parcel that arrives correctly and needs only a receiving record can move faster than an order requiring inspection, a return or consolidation with several sellers.

1. Seller preparation is not international transit

When an order is placed on Taobao, 1688, Tmall, JD.com or another Chinese marketplace, the seller first prepares a domestic parcel. Some listings are ready to ship; others involve presale stock, customization or separate cartons.

Before counting warehouse time, confirm:

  • Whether the seller has actually dispatched the order.
  • The China domestic tracking number.
  • The number of parcels in the order.
  • The warehouse address and customer identification code.
  • Whether the selected variant and quantity are correct.

A seller-created tracking number does not always mean the carrier already has the parcel. Use the carrier scan and warehouse receipt record to confirm movement.

2. China domestic delivery to the warehouse

The first journey is usually seller-to-warehouse delivery inside China. This stage is separate from the later shipment to the United States.

Delays commonly happen when:

  • The seller uses an incomplete warehouse address.
  • The customer code is missing from the recipient information.
  • One order is divided into several tracking numbers.
  • A parcel is delivered to the wrong building or collection point.
  • The domestic courier shows delivery before the warehouse can identify the parcel.

Keep the order number and domestic tracking number together. If several sellers are involved, create one record for each parcel instead of treating the entire purchase as one package.

3. Warehouse receiving and identification

A useful receiving record should connect the physical parcel to the correct customer order. Depending on the agreed service, the warehouse may record:

  • Domestic tracking number.
  • Arrival date.
  • Seller or marketplace order reference.
  • Visible outer-package condition.
  • Initial weight.
  • Number of cartons or parcels.

Receiving is not the same as product inspection. A warehouse can confirm that a parcel arrived without opening it or checking every item. Ask what the standard receiving service includes.

If tracking says “delivered” but the parcel does not appear in your account, provide the tracking number, delivery proof, recipient name and order reference. Do not create a duplicate shipment request until the first parcel is located.

4. Decide what must be checked

Inspection should be based on written instructions, not a vague request to “check everything.” Basic photos may show the visible item, while a more detailed check may require quantities, measurements, variants or sample testing.

Possible checks include:

  • Product and variant match.
  • Visible color and size label.
  • Quantity received.
  • Obvious damage or missing parts.
  • Packaging condition.
  • Requested measurements.
  • Specific accessories listed in the order.

5. Resolve problems before export

If the product is wrong, incomplete or visibly damaged, pause international shipping. Compare the warehouse evidence with the original listing and purchase instructions.

Record:

  • Product link and selected variant.
  • Seller order number.
  • Domestic tracking number.
  • Photos of the issue.
  • Quantity affected.
  • Preferred solution: return, replacement, partial acceptance or cancellation.

Ask whether the seller has accepted the proposed solution and which costs may apply. A domestic return can still involve deadlines, delivery charges or non-refundable service work. Once the parcel leaves China, correction usually becomes much harder.

Do not consolidate goods that may need to be returned. Keep the affected parcel identifiable until the decision is complete.

6. Wait for all intended parcels before consolidation

Consolidation means combining approved orders into a planned international shipment. It can reduce the number of parcels and remove unnecessary outer packaging, but it also creates a dependency: the warehouse must wait for every parcel you choose to include.

Before requesting consolidation, check:

  • Which packages have arrived.
  • Which packages are still moving inside China.
  • Whether any order has an unresolved problem.
  • Which original boxes must be kept.
  • Which goods need extra protection.
  • Whether different goods can use the same international route.

7. Repacking changes the final quotation

Seller packaging is designed mainly for domestic delivery. International transport may need stronger protection, while oversized outer cartons may create unnecessary dimensional weight.

Possible packing decisions include:

  • Remove empty outer cartons.
  • Keep retail or collector packaging.
  • Add corner or crush protection.
  • Separate incompatible goods.
  • Use moisture protection where appropriate.
  • Pack fragile items individually.
  • Reduce unused space without damaging the goods.

The best choice is not always the smallest box. Protect the product first, then control avoidable volume. Request the final packed weight and dimensions before approving international dispatch.

8. Confirm the goods are suitable for the route

A shipping quotation depends on more than weight. The warehouse or logistics provider must know whether the parcel contains batteries, liquids, powders, magnets, cosmetics, food, branded goods or other restricted or sensitive items.

Provide an accurate goods description and destination postal code. Do not hide a restricted item inside a general-goods declaration. If one item is incompatible with the planned route, ask whether it should be removed, returned or shipped separately through a suitable service.

9. Approve the shipment only after the final check

Before the parcel leaves China, confirm:

  • All intended packages are included.
  • Product problems have been resolved or accepted.
  • Packing instructions have been followed.
  • Final weight and dimensions are available.
  • Destination name, address, phone and postal code are correct.
  • Goods description and declared value are accurate.
  • Shipping method and estimated range are understood.
  • Included and excluded charges are clear.

How long does warehouse processing in China take?

It depends on the agreed service. Simple receiving can be quicker than inspection, consolidation or a return. Ask the warehouse to distinguish waiting time from active processing time.

Why does tracking show delivered but the warehouse has not recorded it?

The parcel may still need to be unloaded, scanned and matched to an account. Missing recipient codes, split shipments or incorrect labels can extend identification time.

Does consolidation always save time?

No. It may simplify international shipping, but waiting for the last seller can delay dispatch. Consolidate only the parcels that fit your deadline and route.
