1688 to Spain: Landed Cost, Customs and Shipping Checklist (2026)

Calculate the real landed cost of shipping 1688 orders to Spain, including 2026 customs changes, VAT, compliance, inspection and freight checks.

Buying on 1688 can reduce product costs, but the listing price is not the amount a buyer in Spain ultimately pays. Before placing an order, calculate the landed cost: the product, delivery within China, purchasing and inspection services, international freight, insurance, customs charges, import VAT and delivery in Spain.

This guide focuses on that calculation and the checks to complete before shipping. For a general walkthrough of buying on 1688, use the existing 1688 purchasing guide instead.

Quick answer: what should you calculate first?

Ask for these six figures before approving a shipment:

  1. Product value and quantity.
  2. China domestic delivery and agent charges.
  3. Packed weight and outer dimensions.
  4. International freight and insurance.
  5. Expected customs value, tariff treatment and import VAT.
  6. Customs-clearance and final-delivery charges in Spain.

A cheap unit price can become uncompetitive when the product is bulky, restricted, difficult to certify or expensive to clear. Calculate cost per saleable unit after expected damage and samples, not only cost per kilogram.

Build a landed-cost estimate

Use this planning formula:

Landed cost = goods + China delivery + purchasing/inspection + export packing + international transport + insurance + customs charges + import VAT + clearance + delivery in Spain

The taxable amount for EU import VAT can include the customs value plus duties and incidental costs such as commission, packing, transport and insurance up to the first destination. Check the European Commission explanation of the import VAT taxable amount.

Do not use a sample freight price as a final quote. Freight changes with chargeable weight, dimensions, route capacity, product type, season and destination postcode. Request a new quotation after the warehouse measures the packed shipment.

For a broader breakdown of purchasing charges, see the China shopping agent cost guide.

Important 2026 customs change for low-value imports

EU rules changed on 1 July 2026. The previous customs-duty relief for consignments not exceeding €150 was removed, and a temporary €3 customs duty per item applies in specified low-value distance-sale and postal cases until the new system replaces it. The detailed treatment depends on the transaction and declaration route.

Read the European Commission guidance on the temporary €3 duty and confirm the current treatment with the carrier or customs representative before shipping. Do not assume that splitting a commercial order into small parcels removes duties or VAT.

Spain’s standard VAT rate is commonly 21%, but the actual calculation depends on the goods, customs value, charges included in the taxable base and any applicable special treatment. IOSS is designed for eligible distance sales in consignments not exceeding €150; it is not automatically available for every wholesale purchase made on 1688.

Decide who will be the importer

Before payment, agree in writing:

  • Who is the importer of record.
  • Who provides the commercial invoice and packing list.
  • Which Incoterm or delivery arrangement applies.
  • Who pays duties, VAT, clearance and destination charges.
  • Whether the shipment is for personal use or resale.
  • Whether an EORI number is required.

A Spanish business conducting customs operations may need an EORI registration. Review the Spanish Tax Agency’s EORI information or consult a qualified customs representative.

“Door to door” does not automatically mean that every tax and destination charge is included. Ask whether the quotation is duty paid or duty unpaid and request a written list of exclusions.

Check product compliance before ordering

Shipping is only one part of importing. A product may require safety documentation, labelling, traceability, instructions in an appropriate language or sector-specific testing before it can be placed on the EU market.

CE marking applies only to product groups covered by relevant EU legislation. It is not a universal certificate. Importers must verify the applicable requirements and the manufacturer’s documentation before placing regulated products on the market. Use the EU guidance for importers and distributors.

Before paying a 1688 supplier, request:

  • Exact material, model and intended use.
  • Manufacturer identity and contact details.
  • Product and packaging photographs.
  • Applicable declarations, reports and labels.
  • Sample availability.
  • Battery, liquid, magnetic or hazardous characteristics.
  • HS-code suggestion for review by your customs representative.

A supplier document or logo on a listing is not proof that the product complies. Check the document scope, issuing body, model reference and current validity.

Prepare the warehouse inspection

Send the warehouse a checklist before the goods arrive. Basic photographs can confirm visible appearance, quantity labels and packaging, but they do not prove hidden performance, authenticity or regulatory compliance.

Useful checks include:

  1. Match the received model, colour and quantity to the order.
  2. Photograph outer cartons and visible damage.
  3. Measure packed weight and dimensions.
  4. Keep incompatible or restricted goods separate.
  5. Confirm whether unnecessary retail packaging may be removed.
  6. Resolve returns before consolidation.

YDA Express can receive purchases in China and offers up to 180 days of free warehouse storage, subject to service conditions and product restrictions. Read the China warehouse receiving guide before sending orders from multiple suppliers.

Choose a shipping method using the packed shipment

Do not select transport only by advertised transit time.

  • Express may suit samples and urgent, compact goods.
  • Air options may suit time-sensitive commercial shipments when the route accepts the product.
  • Sea freight may suit larger or less urgent cargo, but destination handling and delivery must be included in the comparison.
  • Consolidation may reduce repeated minimum charges, although a larger carton can increase volumetric weight.

Ask for the chargeable weight, route, estimated transit range, tracking method, insurance terms, customs-clearance arrangement and excluded destination charges. Delivery estimates are not guarantees and can change because of capacity, customs checks, weather or last-mile conditions.

Final checklist before authorising shipment

  • Supplier and product details match the order.
  • Compliance requirements have been checked for Spain and the EU.
  • Commercial invoice and packing list are accurate.
  • Importer, EORI and tax responsibilities are clear.
  • Packed weight and dimensions have been confirmed.
  • Restricted-item details have been disclosed.
  • Duties, VAT, clearance and delivery assumptions are written down.
  • Returns and visible problems are resolved before consolidation.

The safest decision is based on the complete landed cost and compliance risk, not the lowest product or freight price.
