Buying upholstered furniture from China for UK resale? Match the sofa, fabric, filling and permanent label before paying the supplier.
Before buying a sofa from China for UK resale, ask for evidence for the exact upholstery combination you will receive. A seller's “UK standard” message, a detached label or a report for another fabric is not enough to approve the order.
This guide helps a small UK furniture retailer prepare a supplier review. It focuses on ordinary domestic upholstered sofas and armchairs supplied in Great Britain, rather than mattresses, children's products or contract furniture. It is not a laboratory assessment or a claim that warehouse photographs establish legal compliance. Official guidance checked: 17 October 2026.
A missing swing tag and a missing permanent label are different problems
The OPSS guidance on the 2025 furniture amendments explains that display-label requirements were removed from 30 October 2025. Permanent-label obligations remain, including for second-hand supply. Do not reject a new sofa solely because it lacks an old-style swing tag, or assume the change removed fire-safety duties.
Your first supplier question should therefore be: “Where is the permanent label on this model, and which records support the actual version being supplied?” Keep an image showing both the label and its position on the furniture. A loose label photographed on a table cannot establish that it is attached to the shipment.
Follow one sofa through the supplier's evidence
Illustrative scenario, not a customer case: you select a two-seat sofa in blue woven fabric, then the seller offers a cheaper grey fabric and different foam. The outside shape is unchanged. Treat that as a changed specification, not an automatic continuation of the first review.
Use one review row per ordered variation:
| What you are approving | What to request | What needs clarification |
|---|---|---|
| Sofa identity | Manufacturer, model, dated specification and order reference | A report naming only a trading company or another model |
| Cover and any interliner | Exact fabric reference and construction details | A generic swatch image with no connection to the order |
| Filling | Identification of the relevant filling materials | “Same quality” without a recorded specification |
| Evidence | Complete relevant reports and their sample descriptions | Missing pages, unclear tests, or documents for another combination |
| Traceability | Proposed permanent-label details and attachment location | A promise to print a label after the goods reach the UK |
This is a purchasing worksheet, not an official list of every legal requirement. Ask a competent product-safety adviser or test laboratory to determine whether the evidence and applicable tests cover the ordered product. Verify report references with the issuing laboratory where needed. A report's age alone does not tell you whether it applies; changes in materials or construction need review.
Useful seller request:
Please identify the manufacturer and the exact sofa model, cover fabric, filling and any interliner for this order. Send the complete relevant fire-test evidence and proposed permanent-label details. Explain how the tested samples relate to this version. Do not substitute materials without our written agreement. Please confirm the return or cancellation arrangements if the evidence cannot be accepted.
If the supplier cannot connect those records, pause the deposit or choose another product. Paying for freight first will not resolve missing evidence.
Put the UK supply responsibility in writing
Record which business is importing and supplying the sofa in the UK, who keeps the product file and who will handle a product-safety enquiry. A China purchasing agent, freight forwarder and UK retailer have different functions. Do not assume that a “DDP” quotation transfers every product-safety obligation.
Have the responsible business confirm the current requirements for its product and market before ordering. A sofa for retail sale, a furnished letting and a non-domestic project should not share an unexamined compliance assumption. Northern Ireland needs its own market assessment; this article's Great Britain workflow is not that assessment.
If the order is for a household move rather than resale stock, keep used belongings and new purchases on separate records; the China-to-UK ToR1 packing guide explains that different customs workflow.
For the transport planning that follows, use the separate large-item shipping guide. This article owns the sofa evidence decision, rather than general freight prices or shipping times.
At the China warehouse, verify the visible match
Agree the inspection scope before the parcel arrives. Ask for the delivered model reference, the permanent label in context, visible fabric and colour, quantity, and accessible signs of damage. Keep the supplier specification, order and receipt photographs together.
If the wrong fabric arrives, or the label is absent or inconsistent, send a hold instruction while the seller's domestic return window is still being checked. A warehouse can document what is visible; it cannot identify the chemical composition of foam, test ignition performance or authenticate an unfamiliar report. Do not ask staff to perform a flame test or attach a made-up compliance label.
Before dispatch, record the final packed dimensions and weight and confirm protection for legs, corners and upholstery. Keep any compliance labels accessible and intact. Review crating and route acceptance with the carrier, including any powered mechanism or battery. Tax treatment, product safety and carrier acceptance are separate checks.
Close the file before authorising dispatch
Write a short release note containing the approved product version, the person who reviewed its evidence, the received-item photo references, any resolved discrepancy, and the agreed packing and delivery scope. If one item is unresolved, identify it explicitly rather than marking the whole order “checked”.
Ask the appointed declarant about the actual classification, customs value, import VAT and charges. This guide does not assign a universal sofa duty rate or treat a small order as exempt. If a later bill needs checking, the UK parcel customs-bill guide covers that separate task.
For a purchasing or forwarding enquiry, send YDA Express the listing, exact variation, intended UK use, postcode and requested visible checks through the services page. YDA can discuss available purchasing, receipt-photo and forwarding support; it cannot certify furniture, replace the responsible UK business or guarantee customs release. Request a written scope before paying.
