If a China warehouse photo shows the wrong model, colour, quantity or missing accessories, stop the parcel before consolidation. Use this evidence-first workflow to choose a return, replacement, partial refund or acceptance.

A wrong item, missing accessory or visible defect is usually easier to resolve while the parcel is still in China. The first action is simple: ask the warehouse to hold the affected parcel and keep it out of consolidation and international dispatch. Then match the evidence to the order, contact the seller or purchasing agent, compare the available remedies and approve the next step in writing.

This guide is for overseas buyers who have already received a warehouse photo or check result showing a possible mismatch. It focuses on handling the exception—not on choosing products or requesting a general inspection.

Freeze the parcel before changing anything

Do not request repacking, label removal, disposal of the seller carton or international shipping while the problem is unresolved. A parcel that remains separate is easier to identify, photograph and return.

Send a short instruction that names the affected order and domestic tracking number:

Please hold parcel [warehouse reference] separately. Do not consolidate, repack or ship it until I approve the solution.

If the seller divided one order into several domestic parcels, confirm whether the problem affects one parcel or the whole order. Do not hold unrelated purchases without a reason; they may be able to continue through the normal process.

Decide what is actually wrong

“Wrong item” is too broad for a seller dispute. Turn the issue into an observable difference between what was ordered and what arrived.

Check the saved product link, selected variation and order record against the warehouse evidence. Record the mismatch in one sentence, such as:

  • ordered ten blue cases for model X; received eight blue and two black;
  • ordered size L; the visible sewn label shows size M;
  • ordered a set with a cable and adapter; the adapter is not shown;
  • the model number on the product label differs from the order;
  • the outer carton is crushed and the product has a visible crack.

It cannot prove authenticity, internal quality, material composition, long-term performance or regulatory compliance.

Build a small evidence package

The goal is not to collect as many photos as possible. It is to create enough clear evidence for a decision.

Keep these records together:

  1. platform order number and seller name;
  2. product link or listing screenshot;
  3. selected colour, size, model, quantity and accessories;
  4. Chinese domestic tracking number and warehouse parcel reference;
  5. a full-item photo;
  6. close-up photos of the mismatch, label or damaged area;
  7. a group photo when quantity is disputed;
  8. a one-sentence description of the problem; and
  9. the seller or platform return deadline shown in the order.

Ask for additional evidence only when it answers a specific question. If one screw is missing, a photograph of all included parts laid out together is more useful than ten photos of the closed box. If a model is uncertain, request the model plate rather than a distant front view.

Keep the original product and packaging available until the seller confirms what must be returned. Removing packaging too early can make it harder to match the parcel or comply with return instructions.

Check who placed the order

The communication route depends on how the item was purchased.

You bought directly from the seller

Use your own platform account to contact the seller and open any available return, refund or replacement request. The warehouse can provide the agreed evidence and, when available, carry out a domestic return after you approve the address, cost and instructions. The warehouse does not control the platform decision.

A purchasing agent placed the order

Send the mismatch description and evidence to the agent. Ask the agent to confirm the seller’s proposed remedy, the applicable deadline, domestic return postage, handling work and where any refund will be credited.

Do not assume that the original purchasing fee includes every return task. Locating a parcel, taking extra photos, repacking it, creating a domestic return shipment and following up a refund may have separate conditions or charges.

Compare four possible outcomes

1. Seller replacement

A replacement can make sense when the seller accepts responsibility, the correct item is still available and you can wait. Confirm whether the wrong item must be returned first, who pays domestic postage, how the replacement will be identified and whether the new item will receive the same checks.

Keep the case open until the replacement arrives at the warehouse and matches the order. A seller’s promise to resend is not the same as receiving the correct replacement.

2. Full return and refund

A full return may be appropriate when the item is materially wrong, unusable or valuable enough to justify the work and postage. Before approving it, obtain the seller’s return address, recipient name, telephone number, return deadline and any required platform code.

3. Partial refund and keep the item

For a minor mismatch, a partial refund may be more practical than a domestic return. Compare the offered amount with the item’s usable value, the return cost and the effect on your actual purpose. Do not accept a partial refund simply because it is fast if the item cannot be used safely or legally.

4. Accept the item without a claim

You may decide to keep a harmless variation, especially for a low-value item. Record that decision clearly so the warehouse knows the parcel can proceed. Acceptance does not change transport restrictions: the actual item, not the original listing, must be used for route checks and customs description.

Confirm costs before authorising a return

A seller saying “return accepted” does not answer who pays or what will be refunded. Confirm:

  • domestic return postage;
  • warehouse or agent handling;
  • extra photographs or simple checks;
  • replacement domestic delivery;
  • completed services that are not refundable;
  • refund amount in CNY;
  • payment or account credit route; and
  • possible currency-conversion differences.

If the parcel has already left China, stop and recalculate. International return postage, tracking, customs paperwork and possible import charges into China can exceed the recoverable value. Keep the problem parcel separate from good orders

Other orders do not always need to wait. Ask the warehouse to identify which parcel is disputed and whether the remaining purchases can be prepared independently.

Do not include the problem item in a consolidation request. Once several seller parcels are repacked into one international carton, proving which packaging and tracking record belonged to the disputed order can become more difficult.

When the issue is resolved, review the China warehouse packing instructions before approving removal of retail boxes, protective materials or seller labels. Efficient packing matters, but evidence and necessary protection should not be discarded prematurely.

Recheck any replacement

Treat a replacement as a new arrival. Match the domestic tracking number, count the units and repeat only the checks that matter to the original problem.

For example, if the first item was the wrong model, request a clear model-label photo. If accessories were missing, ask for one image showing the complete set. If the first product was visibly damaged, check both the replacement and its protective packaging.

Do not approve international shipping merely because the seller says the replacement is correct.

Final decision checklist

Before releasing the parcel, confirm that:

  • the affected warehouse reference matches the correct order;
  • the visible issue has been described precisely;
  • the necessary evidence is saved;
  • the seller or agent response is documented;
  • the return, replacement, partial refund or acceptance is approved;
  • any domestic postage and handling cost is understood;
  • a replacement has arrived and been rechecked when applicable;
  • the actual product is acceptable for the planned route;
  • the correct item description, quantity and value will be used; and
  • the disputed parcel is not accidentally included in another shipment.
