How to Verify a China Buying Agent Before You Pay

Before paying a China buying agent, check the business identity, payment recipient and written service terms. Use this checklist to clarify responsibilities and prepare a manageable first order.

Before paying a China buying agent, establish who is providing the service, who will receive your money, and what they have agreed to do. A business license, a professional website or positive reviews can support your checks, but none guarantees that an order will go smoothly.

The practical goal is to replace vague promises with information you can verify and a written record you can refer to if something changes.

1. Identify the business behind the brand

Ask for the registered business name, registration details, service contact and operating address. For a mainland Chinese business, request the Chinese legal name and Unified Social Credit Code where applicable.

Use the National Enterprise Credit Information Publicity System to look up the information rather than relying only on a screenshot supplied by the agent.

A brand name may differ from the registered company name. Likewise, a warehouse address may differ from the registered address. Those differences need an explanation, not an automatic accusation.

Ask how the brand, contracting business and warehouse are connected. A registration record helps establish identity; it does not prove warehouse capability, product quality or future performance.

2. Check the payment recipient separately

Before confirming a payment, compare the recipient details with the quotation or order confirmation.

If another company, payment processor or individual will receive the money, ask for a written explanation of the relationship and how the payment will be credited to your order.

Be particularly careful when payment instructions change unexpectedly. Confirm the change through a contact method you previously established, rather than relying only on the message announcing the new account.

Also clarify:

  • The amount and currency you are authorizing.
  • Any payment or currency-conversion charges.
  • Whether the money pays for goods, services or an account balance.
  • How unused funds and eligible refunds are returned.

Do not assume that using a familiar payment brand guarantees reimbursement. Eligibility depends on the transaction and applicable terms. For example, PayPal’s US Purchase Protection terms include exclusions for personal payments and items intended for resale. Buyers elsewhere should check their local terms.

3. Put the service scope in writing

“Full service” is not specific enough. Confirm the product link, selected variation, quantity and the work the agent will perform.

Ask whether the service includes purchasing, seller communication, receiving, photographs, quantity checks, repacking and international shipping arrangements. Supplier sourcing, factory audits, authentication and specialist testing should not be assumed.

For warehouse checks, describe what matters to you. “Please photograph the model label and check the visible quantity” is clearer than “Please check everything.”

Arrival photographs can reveal some visible issues. They cannot establish every hidden defect, certify authenticity or prove that a product complies with destination-country requirements.

4. Confirm the shipping budget before committing

An initial purchase quotation may not include the final international freight charge. Ask which costs are confirmed and which remain estimates.

Provide the destination, product type and expected package information. Confirm how packed weight and dimensions affect the charge, whether taxes and residential delivery are included, and what additional fees could apply.

Consolidation can reduce duplicated packaging, but it does not always reduce the total price. A combined parcel may become oversized or require a different route. Ask for the available options rather than assuming that one large box is always best.

5. Agree on what happens if something changes

Before payment, ask what happens if the seller has no stock, sends the wrong item, delays dispatch or declines a return.

Clarify who contacts the seller, who approves substitutions, when photographs will be available, and which costs may remain payable after cancellation. For shipping problems, ask about the claim procedure, required evidence and applicable compensation limits.

Keep the product listing, approved quotation, payment receipt and relevant messages together. Written records reduce misunderstandings, but do not guarantee a particular dispute outcome.

6. Use a manageable first order

Choose a first order whose cost and possible loss you can comfortably manage. Assess the complete process: order confirmation, warehouse updates, agreed checks, final charges and delivery communication.

A successful small order is useful evidence, not a guarantee for a larger or more complex purchase. Recheck the scope when changing suppliers, product categories or order size.

A provider declining to reveal another customer’s identity is not automatically suspicious. Respect privacy and look for other evidence. What matters is whether the provider can explain its own responsibilities and substantiate material claims.

A message you can send before paying
