Build a customs-ready evidence file for used Xianyu purchases sent to Portugal, including payment, seller messages, condition photos, product identity and return decisions.
Xianyu to Portugal: Proving the Value and Condition of Used Goods
A used Xianyu item is not automatically a gift, tax-free parcel or low-risk purchase. For Portugal, the useful task is to build one evidence file that connects the listing, seller, payment, product condition and final shipment. If those records cannot be connected, pause before the item leaves the seller.
This article is for an individual buyer purchasing a genuine used item for personal use. It does not cover counterfeit goods, commercial resale stock or professional authentication. The outcome is a keep, return or escalate decision while a China return may still be possible.
Start with the customs evidence Portugal may request
CTT states that a paid purchase is a commercial transaction even when the buyer or seller is an individual. Its document guidance lists a commercial invoice, purchase-history screenshot and proof of payment for a purchase. If the transaction did not take place through a conventional website, CTT may accept screenshots of the full exchange with the seller as part of the file. Review the CTT document requirements.
CTT also explains that a purchase record should identify the order, shipment, seller and buyer, give a detailed goods description, quantity and unit value, and show freight, insurance, currency and payment terms where applicable. Build the evidence chain before payment
Save these items together:
- the complete Xianyu listing, including title, photos, stated defects and seller description;
- seller messages clarifying model, material, included accessories and working condition;
- the agreed price and payment record;
- the seller’s domestic shipment number;
- warehouse receipt photos and the visible parcel label where available;
- a simple English or Portuguese product description for the final shipment.
Screenshots should show context, not only a cropped price. A payment record with no product reference and a listing with no seller identity can be difficult to connect later.
“Used” changes the condition, not the need for a real value
EU customs valuation normally starts with the transaction value—the total price actually paid or payable—subject to the customs rules and possible adjustments. Customs can request more information if the declared amount is doubtful. See the European Commission customs-valuation explanation.
Do not declare the original retail price when it is not what you paid, and do not write an arbitrary nominal amount because the item is second-hand. Keep evidence of the actual price, the condition that explains it and any separate commission, domestic delivery or international transport costs.
Use a four-result condition check
Accept
The received item matches the model, visible condition, quantity and included accessories. The evidence file is coherent, and the product is eligible for the planned route.
Ask the seller
A scratch, missing accessory, serial label, battery status or model number is unclear. Request a specific photo or written confirmation before consolidation.
Return in China
The wrong model arrived, an undisclosed defect is visible, essential accessories are missing, or the seller’s statements conflict with the received item. Starting a domestic return can be more practical than discovering the issue after international shipment.
Escalate or stop
Brand authenticity is doubtful, identifiers appear altered, the product may be prohibited, or the buyer expects the warehouse to certify authenticity or internal safety. A basic warehouse photo is not authentication, laboratory testing or a functional inspection.
Special checks for common Xianyu purchases
For used electronics, record the exact model, power specification, battery presence and visible serial information where lawful and available. Confirm the route before shipping lithium batteries or damaged devices. For branded clothing and accessories, retain close-up listing images and seller statements, but do not treat photos as proof of authenticity. For collectibles, describe the material and object rather than only a character or series name.
