Identify whether a Taobao seller, buying agent, China warehouse or international carrier should handle wrong items, damage, lost parcels, refunds and claims.

Most Taobao order problems are easier and cheaper to solve before the item leaves China. The first step is to identify where the failure happened: the seller controls the product and domestic order, the buying agent manages the authorized purchase, the warehouse handles agreed receiving and inspection tasks, and the international carrier is responsible for transport under its service and claim terms.

Do not ask only, “Who will refund me?” Preserve the order record, photos, labels, tracking events and written instructions first. Those details determine who can act and whether a return, replacement, partial refund or transport claim is still possible.

Who is responsible at each stage?

Responsibility follows the stage of the order. A buying agent can coordinate several parties, but it does not manufacture the product, set the seller’s return policy or control customs and carrier decisions.

The Taobao seller

The seller is normally the first party to contact when the issue concerns:

  • the wrong colour, size, model or quantity;
  • an item that materially differs from the listing;
  • missing accessories or components;
  • seller cancellation, lack of stock or dispatch delay;
  • a product defect covered by the seller’s stated terms.

The seller decides whether to accept a domestic return, replacement or partial refund under the marketplace order and applicable rules. Approval can depend on the evidence, condition of the item and return deadline.

The buying agent

The agent is responsible for performing the purchasing instructions it accepted. That may include confirming the submitted link and variation, placing the domestic order, recording payment, communicating with the seller and coordinating an available return.

The China warehouse

The warehouse is responsible for the receiving, recording, storage and inspection work included in the selected service. A basic arrival check may show the outer parcel, visible product, quantity or label. It does not automatically prove authenticity, material composition, hidden defects, long-term function or destination-country compliance.

Request specific checks before the seller’s return window closes. “Check quality” is vague; “photograph the size label, measure the width and confirm two accessories are included” produces usable evidence.

The international carrier

After dispatch, loss, external damage and delivery exceptions are usually handled under the carrier’s tracking, claim and compensation rules. The sender or logistics provider may need to file the claim, but the buyer must normally supply evidence promptly.

Carrier liability, optional insurance and declared value are separate issues. Compensation is not automatically equal to the retail value. Confirm coverage and evidence requirements before shipment.

Wrong item, colour or size

When the warehouse records the parcel, compare it with the approved order immediately:

  1. Match the domestic tracking number and Taobao order.
  2. Compare the product, variation and quantity with the written instruction.
  3. Save full-item photos and close-ups of the label or mismatch.
  4. Ask the warehouse to hold the item and exclude it from consolidation.
  5. Confirm the seller’s return deadline and proposed solution.
  6. Review domestic postage, handling and any non-refundable charges.
  7. Approve the return, replacement or partial refund in writing.

Do not send a disputed item internationally just to keep the rest of the shipment moving. Once it leaves China, return postage and customs formalities can cost more than the product.

Damage found at the China warehouse

First establish whether the seller parcel arrived damaged or the product itself was defective. Ask for photographs of the outer mailer, shipping label, internal packaging and damaged area. Keep the packaging until the seller or carrier confirms what evidence is needed.

The warehouse can document visible conditions and help coordinate a domestic solution when available. It cannot promise that a seller will accept liability. If several parcels are waiting, keep the affected item separate; eligible goods may receive up to 180 days of free China warehouse storage, subject to current service conditions.

Problems discovered after international delivery

Act before throwing away the carton:

  1. Photograph every side of the unopened parcel and the shipping label.
  2. Record an opening video when damage, shortage or tampering is visible.
  3. Photograph the internal packing and each item.
  4. Compare the contents with the packing list and warehouse records.
  5. Report the exception through the supported channel promptly.
  6. Keep invoices, payment proof and tracking screenshots.

A crushed carton may support a transport-damage claim. An intact carton containing the wrong product points more strongly to a seller or order-stage problem. Hidden manufacturing defects may still depend on the seller’s terms and technical evidence.

Lost parcel or tracking that stops updating

A gap between tracking scans does not always mean a parcel is lost. International shipments can wait for a flight, customs processing or transfer to a local carrier. Check the latest event, normal investigation window and whether a last-mile tracking number exists.

If the shipment exceeds the applicable window, contact the logistics provider with the shipment number, contents, declared value and purchase evidence. Do not open conflicting claims with several parties unless instructed, because duplicate cases can slow the investigation.

Refund, replacement or shipping claim?

Choose the remedy that matches the failure:

  • Return and refund: useful when the seller accepts the item back and it remains in China.
  • Replacement: suitable when the seller accepts responsibility and the buyer can wait.
  • Partial refund: may be practical for a minor defect when the item remains usable.
  • Carrier claim: appropriate for qualifying loss or transport damage after dispatch.
  • Insurance claim: depends on purchased coverage, declared value, exclusions and evidence.

Evidence checklist

Keep these records from purchase through delivery:

  • product URL and screenshots of important listing details;
  • seller name, order number and domestic tracking;
  • selected colour, size, model and quantity;
  • written substitution and inspection instructions;
  • quotation, invoice and payment record;
  • warehouse arrival photos and requested checks;
  • final packing photos when available;
  • international tracking and customs documents;
  • delivery photos, opening video and damage close-ups;
  • written seller, agent, warehouse and carrier responses.

Clear records do more than support a dispute. They help the agent identify the responsible stage quickly and avoid asking the buyer to reconstruct the order later.
