Received a quote from a China buying agent? Check product variants, cost lines, inspection limits, substitutions, packaging and shipping assumptions before you approve payment.
Receiving a quote from a China buying agent does not mean the order is ready for payment. The safest moment to correct a color, size, seller, inspection request, or shipping assumption is before the agent places the order. Use this checklist to turn a short quote into a clear purchase instruction that both sides can follow.
Start with the exact product, not the product name
A listing title is rarely enough. Record the seller or listing URL, model number, color, size, material, version, plug type, quantity, and any customization. If the product has several variants, attach a screenshot and mark the selected option. Ask the agent to confirm that the quoted price belongs to that exact variant.
For custom goods, approve the artwork, dimensions, placement, material and production file separately. A message such as “same as the picture” leaves too much room for interpretation.

Read the quote as separate cost lines
A useful quote should separate the product subtotal from China domestic delivery, purchasing service charges, payment-related charges, optional inspection or repacking, and estimated international shipping. Ask which items are fixed and which may change after the parcel is received and measured.
International freight is often only an estimate before packing. The final charge can depend on actual or volumetric weight, route, destination, product attributes and packaging. Confirm stock, price validity and substitution rules
Ask how long the quote is valid and whether the agent will reconfirm if the seller changes the price, domestic freight, minimum quantity or dispatch time. Give a clear rule for unavailable items:
- cancel and refund that item;
- wait for restocking;
- ask for approval before choosing an alternative; or
- accept a substitute only within a stated price and specification limit.
Never leave substitution authority open-ended. Written approval protects both the buyer and the agent when a marketplace listing changes.
Define the inspection before purchase
“Please inspect it” can mean very different things. State what you want checked when the parcel reaches the China warehouse: quantity, visible color and model, obvious surface damage, accessories, labels, dimensions, or simple power-on status where practical and safe.
Warehouse inspection is normally visual and limited. It is not the same as laboratory testing, certification, authentication, or a full functional quality-control inspection. For higher-risk or customized products, ask whether a specialized inspection is available before relying on it.
Also agree on what happens if a problem is found. Should the agent contact you, request a seller exchange, return the item, or continue shipping? Seller return windows can be short, so response time matters.
Check product restrictions before the agent orders
Batteries, liquids, powders, magnets, branded goods, medical items and other controlled products may have route or documentation restrictions. Tell the agent exactly what the product contains and how it will be used. Do not describe restricted attributes inaccurately to obtain a cheaper route.
The buyer should also check destination-country import rules, taxes, licences and product compliance. A buying agent can help collect information and arrange logistics, but border authorities and carriers make their own decisions.
Approve packaging and consolidation assumptions
If you are combining several orders, confirm whether original retail boxes should be kept, folded or removed; whether fragile protection is needed; and whether parcels should wait for later purchases. Consolidation can reduce repeated handling and separate shipment charges, but it may not always reduce billable weight.

Send one final approval message
Before paying, ask for a final written summary containing the selected products, quantities, cost lines, inspection scope, substitution rule, expected seller dispatch window and any unresolved point. Then reply with an explicit approval, such as: “I approve the attached quote and specifications. Contact me before any change.”

Pay only when the product specification is complete, each fee is understandable, variable costs are identified, inspection limits are clear, and changes require your approval. Pause the order if any answer is vague. A careful ten-minute review before purchase is usually easier than resolving a mismatch after the seller has shipped.
