Step 1: Send an Exact Product Instruction
Do not send only a screenshot. Provide:
- The complete product URL
- Color, size, model and quantity
- Destination country and postal code
- Any requirement that cannot be substituted
- A maximum acceptable price if the listing changes
- A clear instruction for out-of-stock variations

Ask how a cancellation or seller refund would be credited and which service or payment fees may not be refundable.
This is not yet the final shipping quote. The packed weight and dimensions are normally unknown until the goods arrive and are prepared for export.
Step 3: The Proxy Places the Order
After approval, the proxy buys the exact variation and sends it to the assigned China warehouse. Keep a written record of the approved link, quantity and instructions.

Seller dispatch and carrier acceptance are not always the same event. Keep the marketplace order number and domestic tracking number. If an order is split, record every tracking number.
Use the warehouse address exactly as provided, including any customer or package identification code. A parcel marked “delivered” by a courier may still need time to be unloaded, matched and registered by the warehouse.

Step 5: Use the Warehouse Checkpoint
When the parcel is registered, compare it with your order list. Request only the checks you actually need, for example:
- Outer-package condition
- Quantity received
- Visible color or size label
- Close-up photo of obvious damage
- Basic comparison with your written order instruction
A receiving photo is not proof of authenticity, material composition, electrical safety or long-term performance. Specialist inspection or testing must be arranged separately when required.
Step 6: Resolve Problems Before Export
If the item is wrong or visibly damaged, decide quickly whether to:
- Accept it
- Ask for missing information or photos
- Request a replacement
- Return it to the seller
